Censis Technology Solutions Ltd (“Censis”, “we”, “our”, “us”) is a company registered in Scotland under registration number SC692643, with registered offices at The Inovo Building, 121 George Street, Glasgow, G1 1RD. We are committed to preserving your privacy and ensuring that your personal data is handled in accordance with data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

 

This Privacy Statement explains how we collect, use, and safeguard your personal data when you use the CareSurround platform and mobile application. It is written in accordance with UK GDPR requirements for clear, transparent and accessible privacy information.

Censis Technology Solutions Ltd is the Data Controller responsible for the personal data processed through CareSurround. As a Data Controller, we must ensure your personal data is used lawfully, fairly, transparently, and securely in line with UK GDPR and the Data Protection Act 2018.

2. Personal Data We Collect

We collect personal data necessary to deliver and improve the CareSurround service. This may include:

2.2 Care Circle Information

  • Your relationship to the individual you support
  • Messages, notes, updates and shared content
  • Information you voluntarily submit related to care and wellbeing

 

2.3 Device and Usage Information

  • IP address
  • Device identifiers
  • App usage logs, performance data and crash analytics

 

2.4 Special Category (Sensitive) Data

If you enter health-related or wellbeing-related details, this constitutes special category data and is subject to enhanced protection. We only process this data with your explicit consent, as described in Section 5 below.

 

3. How We Use Your Personal Data

Your personal data is used to:

  • Provide the CareSurround service and core features
  • Facilitate communication within care circles
  • Improve service performance and user experience
  • Monitor system integrity and security
  • Provide customer support

Special category data (including health and wellbeing information) is processed only with your explicit consent or as otherwise permitted under Article 9 of the UK GDPR. 6. Data Retention

We retain personal data only for as long as is necessary for the purposes described in this Privacy Statement, or to meet our legal obligations. The following indicative retention periods apply:

 

  • Account and contact information: retained for the duration of your account and for up to 3 years following account closure, to fulfil any outstanding obligations or legal requirements
  • Care circle content and messages: retained for the duration of your account and deleted within 90 days of account closure, unless required longer by law
  • Device and usage logs: retained for up to 12 months from collection
  • Special category (health/wellbeing) data: retained only for as long as necessary for the specific purpose for which consent was given, and deleted promptly upon withdrawal of consent

 

You may request deletion of your account or personal data at any time by contacting us at info@censis.tech. We will respond within the timeframes required by UK GDPR.

 

7. How We Protect Your Data

We implement appropriate organisational and technical measures in accordance with UK GDPR security requirements, including:

  • Encrypted data handling and transmission
  • Secure data storage with access controls
  • Strict role-based access restrictions on internal systems
  • Continuous monitoring and timely security updates

All third parties with whom we share personal data are required to comply with applicable data protection law and our contractual data protection requirements.

Where your personal data is transferred outside the United Kingdom, we ensure that appropriate safeguards are in place to protect it in accordance with UK GDPR standards. Such safeguards may include:

We will respond to requests within one calendar month, as required by UK GDPR. In complex or high-volume cases, we may extend this by a further two months and will notify you accordingly.

CareSurround is intended for use by adults only. The minimum age to use the service is 18 years. We do not knowingly collect personal data from children under the age of 18.

 

If we become aware that a child under 18 has registered or provided personal data through CareSurround, we will take steps to delete that data as soon as reasonably practicable. If you believe a child has registered on our platform, please notify us at info@censis.tech.

 

12. Changes to This Privacy Statement

We may update this Privacy Statement from time to time to reflect changes in our practices, technology or legal requirements. Significant updates will be communicated to you through the CareSurround platform or website. The “Last updated” date at the top of this document indicates when the most recent changes were made.
